Minutes for PTSO meeting September 12, 2011
Meeting was called to order by Ninnah at 4:21 p.m.
Treasurer report was passed out to all PTSO board members but Treasurer was not present.
New treasurer and last meetings minutes were approved by all.
Meeting was directed to Fundraisers. Tiffany was not able to get in touch with The Entertainment book distributer. The company had contacted her in May but Tiffany asked if she would contact her in the fall. Since that time the company has not contacted her. Tiffany has left messages but no one has returned her calls. She discussed trying to sell the left over books from year. The last years books will expire in October.
Mr. Owen asked if we should even follow up on this. It was then determined that it was not a terrific fundraiser. This year we will advertise to parents that they can purchase the books through Gateway and Columbine but Summit would not be selling these coupon books this year.
Directory - Jackie Brown was setting this up. Send out more forms for more ads. Work in progress. Jackie will talk to McGinty's and Russ's. Tiffany will talk to A Wild Hair. Patty will place an ad for Husband's business.
Yearbook - Some changes will be made with the Yearbook this year and there may be a yearbook committee. Marci will have Kate help her as well.
September 16, 2011 Ice Cream social will be September 16, 2011 at 5:30. We need parent volunteers for scooping and helping with the toppings. Jackie would like to have a clearance sale on all of the older sweatshirts and t-shirts, cookbooks that are left over from past years. She would also like to try to sell past yearbooks. Jackie would also like to ask the Woodland Park Library to keep one copy of each yearbook for archive purposes. Ninnah agreed to label these items before the ice cream social to sell. All agreed to pull the ice cream out of the freezer by 2:30. Mr. Owen will take the ice cream out of the freezer. Patty and Fran will scoop the ice cream prior to the social and put them back in the Freezer. Tiffany will be picking up the ice cream Tuesday Sept 13. Mr. Owen and Tiffany will get a check written to Gail for the ice cream tonight. Tiffany will send out reminder letters for the fundraiser again this week. Ninnah has 400 bowls and spoons, napkins, ice cream toppings, and water. Kasha has volunteers lined up. Check Sly reply. There have been flyers sent out and there has been an all call. Mr. Owen can send out reminders again this week.
Discussed prices for older items and the sweatshirts will be $5.00 and T-shirts will be $2.00.
October 13 and 14 Health Screenings
October 17th-20th Fall Book Fair during parent/teacher conferences. Will be in the library. Rose Sebesta to do dinners for the teachers (reminder to ask Rose). Need babysitters - must be volunteers. Will look for High School club volunteers. Book fair set up will be Oct 14th. Jackie will send out emails for times. The theme is Outer Space. Tiffany may have some decorations. Jackie will need help with decorating and parent volunteers with selling the books throughout the day.
November 11, 2011 5:30-7:30 Carnival. We will start selling wrist bands 2 weeks prior to the carnival. Our cost on wrist bands is $6 and we will sell them for $8. No discount for pre purchase and wrist bands can be sold at the door. PTSO board decided that we would move theCarnival back due to all of the other commitments PTSO has. There will be a bouncy house, games hot dogs and hamburgers. We will have food in the cafeteria and the games and bouncy house in the gym. We need adult volunteers to ensure the children stay in the gym, we will not allow running through the school. Parents must stay with their children. Ninnah has ketchup, mustard, and soda. Tiffany will purchase the food.
End of October early November Principal Challenge and Chili Night. We will revisit this. In the past this has not worked out well and we need to discuss how to better manage this event and encourage more parents to read to their children. Beja will write letters to other Principals to see if we can have a reading challnege between the three elementary schools. Have a reading week. Read for a day and have pajamas and pillows allowed. Mr. Owen did stress that sometimes the number of children in each school can make school competitions unfair. We would have to look at the numbers.
December 5th-9th Holiday Shoppe
December 13th - Teacher/Staff Holiday Lunch - talk to Gail.
Beja and Cheri Porter brought in some sweatshirts for new ideas for ordering. All agree pre-ordering would be the most economical way to sell the sweatshirts. We discussed having it say Panther or Summit across the front. We also discussed aligning the Mascot together with the Middle and High School. Mrs. Forbes will have her student council look at this idea.
Do we want to sell bumper stickers? Yes
Other Business
Mr. Owen asked if we wanted to have Mr. Larry Russell come speak with Summit about a Mil Levy Bond. Elections are November 2nd. Do we want to advertise that Mr. Russell can come speak to parents?
The Homecoming Parade will be in the evening this year on September 28th at 6:30. Do we want to do a float? Yes all were in favor. Ideas for a float were a joint DARE float, 5th Grade. We will need a truck and a Trailer. PTSO will start asking around.
Meeting adjourned at 5:53.
